Privacy Policy
Introduction
PawsCake ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our pet birthday tracking platform. By using PawsCake, you agree to the collection and use of information in accordance with this policy.
Data Collection
We collect the following types of information:
- Account Information: Name, email address, country. If you sign in with Google, we receive your name and email address from your Google account.
- Pet Information: Pet name, species, breed, birthday, photos, memories/milestones, and any passed away dates
- Pet Health Records: Veterinary visits, vaccinations, weight measurements, medications, ongoing conditions, daily observation notes, care documents, and other health-related notes you choose to record
- Vet, Cost, and Insurance Details: Vet clinic and doctor contact details you save, what visits cost, insurance policy details, and files you attach to health records such as receipts and reports
- Family Sharing: When you invite a family member to share your account, we store the email address you invite and the status of the invitation. When they accept, we store the link between the two accounts so shared pets and their records can be accessed by both. A family member you share with can see the pets and records in your account, and may choose to connect their own AI assistant to it
- Feedback: Suggestions and bug reports you choose to send us, including the message, the part of the service it concerns, and an optional screenshot. Feedback is always linked to your account. We also record whether you sent it from the website or through a connected assistant
- Public Page Preferences: Settings for sharing pet birthday pages publicly
- Collaboration Data: When you invite someone to collaborate on a birthday page, we store the invited email address and invitation status. When you accept a collaboration invitation, your user account is linked to the shared page.
- Notification Preferences: Your birthday reminder settings (enabled/disabled, reminder timing)
- Usage Data: Information about how you interact with our service
- Technical Data: Your IP address and basic request details, which our hosting and security providers use to keep the service available and to block abuse. These records are kept for a short period only
How We Use Your Data
We use the collected information for the following purposes:
- To create and manage your account (including via third-party sign-in providers such as Google)
- To provide and maintain our service
- To display your pet information on public birthday pages (if you choose to make them public)
- To store and display your pets' health records and veterinary history for your personal use
- To send you birthday reminder emails for your pets (if enabled in your profile settings; you can disable reminders at any time)
- To facilitate collaboration on shared birthday pages, including sending invitation emails to addresses you provide
- To give family members you have connected with access to shared pets and their records
- To respond to requests made by an AI assistant you have connected to your account (see AI Assistant Connections below)
- To review and act on feedback you send us
- To improve and analyze our service
- To communicate with you about your account or our service
Analytics
We use analytics services to monitor website performance and understand how users interact with our service. Our analytics service is cookieless and does not collect personal data or use tracking cookies.
Important: Our analytics service provides aggregated, anonymized analytics data only. It does not collect personal information, does not use cookies, and does not require a Consent Management Platform (CMP) under GDPR or similar privacy regulations. The data collected is used solely for performance monitoring and service improvement.
Third-Party Services
We use trusted third-party service providers to help us operate our service, including:
- Cloud hosting and infrastructure providers for secure data storage and service delivery
- Authentication and security services to protect your account and data (including Google for social sign-in)
- Email delivery services for transactional emails such as birthday reminders and collaboration invitations
- Analytics services (as described above) for performance monitoring
We aim to work only with reputable third-party providers that state they follow applicable data protection laws and industry-standard security practices. These providers have access to your information only to perform specific tasks on our behalf and are contractually prohibited from using it for other purposes.
Some of our service providers, and any AI assistant you choose to connect, may process your data outside the United Kingdom and the European Economic Area. Where that happens, we rely on the safeguards allowed by UK and EU data protection law, such as an adequacy decision or standard contractual clauses.
AI Assistant Connections
PawsCake lets you connect third-party AI assistants (such as ChatGPT or Claude) to your account through a secure authorization flow. This is entirely optional: we never send your data to any AI provider unless you set up a connection yourself and your assistant then requests data on your behalf.
When you approve a connection, your assistant can read your pet and pet care information: your pets and their memories, health records, vet and cost details, insurance, care documents, and attached files, including those from family members who share their account with you. It can add or update records when you ask it to, and an update you ask for will replace what a record previously said. It cannot delete your records or upload photos. Shared pets are labelled with the name on the account they belong to, and a record you ask your assistant to add or update is saved in the account that owns the pet, which may be a family member's account.
Anything your assistant retrieves is handled by the AI provider you chose under that provider's own privacy policy. The provider acts on your instructions, not as a PawsCake service provider, so please review its policy before connecting. Before feedback can be sent through an assistant, the assistant is required to show you the exact message and confirm your approval.
You can stop a connection at any time by removing PawsCake in the assistant's settings. If you would like us to revoke an authorization from our side, contact us at hi@pawscake.com.

Some content on PawsCake may contain affiliate links to pet products and services. If you make a purchase through these affiliate links, we may earn a small commission at no additional cost to you. This commission helps support the free service we provide.
We are transparent about our use of affiliate links and will always disclose when content contains affiliate links. Your use of affiliate links is entirely optional, and you are under no obligation to make purchases through these links.
We will clearly label sponsored or affiliate content wherever it appears.
Your Rights
Under UK GDPR, EU GDPR (where applicable), and other relevant privacy laws, you may have the following rights:
- Right to Access: You can view and update your personal data in your account settings. You may also request a copy of all personal data we hold about you.
- Right to Rectification: You can correct any inaccurate or incomplete data directly in your account settings.
- Right to Erasure: You can request deletion of your personal data through the account deletion feature in your profile settings.

Security
We implement reasonable technical and organizational measures to protect your information, including:
- Using trusted infrastructure providers that support encryption in transit and at rest
- Secure authentication and authorization for account access
- Limiting access to personal data to those who need it to operate the service
- Role-based access controls for administrative functions, with admin access restricted to authorized personnel only
However, no method of transmission over the Internet or electronic storage is 100% secure. While we work to protect your information, we cannot guarantee absolute security.
Data Retention
We retain your personal data for as long as your account is active or as needed to provide you with our services. If you delete your account, we will delete or anonymize your personal data within a reasonable timeframe, except where we are required to retain it for legal or regulatory purposes.
When you request account deletion through your account settings, your account will be scheduled for permanent removal after a 14-day grace period. During this time, your account will be suspended and your data remains in our systems.
After the 14-day grace period ends, we automatically and permanently delete the following data:
- Your account and profile information (name, email, country)
- All pet profiles and associated information (including memories, milestones, health records, conditions, observations, medications, care documents, vet contacts, insurance policies, and attached files)
- All birthday pages you created (including collaboration records)
- All uploaded images and files (pet avatars, photos, receipts, reports, and feedback screenshots)
- Family sharing connections between your account and others
- Feedback and bug reports you submitted
- Your terms of service acceptance records
This deletion is permanent and cannot be undone. We may retain certain information where we are legally required or permitted to do so (for example, basic transaction records for fraud prevention, security logs for a limited time, or records required for tax and accounting obligations).
Changes to Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any significant changes by posting the new Privacy Policy on this page and updating the "Last Updated" date. We may also notify you via email if the changes are material.
Your continued use of the service after any changes to this Privacy Policy constitutes acceptance of those changes. If you do not agree with the changes, you may delete your account.

Terms of Service
Service Description
PawsCake is a free online platform for pet owners. It tracks your pets' birthdays and ages, creates memory pages you can share publicly, and keeps a private record of your pets' care: ongoing conditions, daily observations, medications, vet visits and what they cost, vet clinics and doctors, insurance policies, care documents, and files you attach such as receipts and reports. You can share your account with family members, send us feedback, and optionally connect a third-party AI assistant to read and update your records. PawsCake is a record-keeping tool. It does not provide veterinary advice and is not a substitute for a qualified vet.
Account Terms
By creating an account with PawsCake, you agree to:
- Provide accurate, current, and complete information during registration
- Maintain and update your account information to keep it accurate
- Maintain the security of your account credentials
- Be at least 13 years of age (or the age of majority in your jurisdiction)
- Accept responsibility for all activities that occur under your account
- Notify us immediately of any unauthorized use of your account
User Content
You retain ownership of all content you upload to PawsCake, including pet information, photos, and any other materials. By uploading content, you grant PawsCake a non-exclusive, worldwide, royalty-free license to use, display, and distribute your content solely for the purpose of providing and improving our service.
You are solely responsible for the accuracy and legality of the content you upload. You represent and warrant that you have all necessary rights to upload and share the content, and that the content does not violate any third-party rights or applicable laws.
Prohibited Activities
You agree not to:
- Use the service for any illegal purpose or in violation of any laws
- Upload content that is defamatory, harassing, abusive, or otherwise objectionable
- Upload content that infringes on intellectual property rights
- Attempt to gain unauthorized access to the service or other users' accounts
- Interfere with or disrupt the service or servers
- Use automated systems to access the service without permission
- Impersonate any person or entity
- Collect or harvest information about other users
Service Availability
PawsCake is provided "as-is" and "as-available." We do not guarantee that the service will be available at all times, uninterrupted, or error-free. We may experience downtime for maintenance, updates, or other reasons beyond our control.
We reserve the right to modify, suspend, or discontinue any part of the service at any time, with or without notice.
Limitation of Liability
To the maximum extent permitted by law, PawsCake shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or use, arising out of or relating to your use of the service.
PawsCake is not responsible for any data loss, service interruptions, or damages resulting from your use of the service. You use the service at your own risk.
Intellectual Property
The PawsCake service, including its design, features, and content (excluding user-uploaded content), is protected by copyright, trademark, and other intellectual property laws. All rights are reserved by PawsCake.
You may not copy, modify, distribute, or create derivative works based on the PawsCake service without our express written permission.
Changes to Terms
We reserve the right to modify these Terms of Service at any time. We will notify you of any material changes by posting the updated terms on this page and updating the "Last Updated" date.
Your continued use of the service after any changes to these terms constitutes acceptance of those changes. If you do not agree with the changes, you may delete your account and discontinue use of the service.
Account Termination
You may request deletion of your account at any time through your account settings. When you submit a deletion request, your account will be scheduled for permanent removal after a 14-day grace period.
During the 14-day grace period, your account will be suspended and you will not be able to log in. Your data remains in our systems during this time.
After the 14-day grace period ends, we will permanently delete your account and all associated data, including your profile, pets, birthday pages, and uploaded images. This deletion is irreversible and cannot be undone.
We reserve the right to suspend or terminate your account if you violate these Terms of Service or engage in any prohibited activities. We may also suspend or terminate accounts that are inactive for extended periods.
Governing Law
These Terms of Service and any dispute arising out of or in connection with them shall be governed by and construed in accordance with the laws of England and Wales.
If you are a consumer, you may also benefit from any mandatory protections under the laws of your country of residence. Any disputes shall be submitted to the non-exclusive jurisdiction of the courts of England and Wales.
